Schedule a site visit

Book a visit to a project or property, then confirm it with the buyer.

Site Visits, in the Sales menu (under More on a phone), lists every visit by queue: Today, Upcoming, Unconfirmed, Needs outcome, Completed, and Cancelled or no-show. Members see the visits they host; owners and admins see the whole team’s and can filter by agent.

Book a visit

  1. Choose Book visit on a lead, Schedule visit on one of the buyer’s requirements, or New Visit on Site Visits.
  2. Choose the buyer and the project or property. Optionally pick the requirement and configuration the visit is for.
  3. Set the date, time and duration. The agent starts as the lead’s owner and the meeting point as the property’s location; change either if you need to.
  4. Choose Schedule visit.

Before the visit

  • Record confirmation once the buyer has agreed to the time, noting whether they confirmed by call, WhatsApp, email or in person.
  • Reschedule keeps the same visit and its history. The earlier confirmation is cleared, so confirm the new time with the buyer.
  • Cancel asks for a reason. Owners and admins can also change the agent.
  • Schedule another visit books a repeat visit with the same project or property already filled in.

What the buyer receives

  • Every visit has a visit ID, such as SV-00012, that you can quote on a call or search for in the list.
  • Copy buyer link on the visit gives you a private link to send on WhatsApp or by message. On it the buyer sees the time, place and host, and can confirm, ask for another time or cancel. Opening the link changes nothing; only their button presses do.
  • A link works for one visit time. After you reschedule, it says the visit has changed, so send a new one.
  • If an owner or admin turns on Email buyers about site visits in Settings, Lead defaults, buyers with an email address are emailed when a visit is booked, changed, confirmed or cancelled, with a reminder the day before and about two hours before. A reminder whose time had already passed when the visit was booked is not sent. Each email carries the buyer’s link.
  • Buyer updates on the visit shows each email and whether it was sent. Try again resends one that failed.

When the buyer asks for another time

The visit stays at its booked time and shows the day and time of day the buyer asked for. The host is notified, and the list has a Buyer requests view. Choose Reschedule to move the visit, which answers the request, or Dismiss to keep the booked time. When a buyer confirms or cancels through their link, the host is notified too.

See visits on a calendar

  • Choose Calendar at the top of Site Visits. A computer opens the week; a phone opens an agenda of the week, grouped by day.
  • Switch between Day, Week, Month and Agenda, and use the arrows to move. Today brings you back to the current date.
  • Each visit shows its time, length, buyer and project, and its state in words: Unconfirmed, Confirmed, Needs outcome, Completed or No-show. Cancelled visits stay in the list.
  • A warning sign marks an agent who has two visits at the same time.
  • In Month, a busy day shows its first few visits; choose the date or + more to open that day. Tap any visit to open it.
  • Owners and admins can filter by agent. Everyone can filter by project or property.
