A buyer is ready to view a unit. Choose the buyer and project, set the appointment time and meeting point, and select an eligible host. After the visit, record attendance, feedback and the next action so the team can continue the conversation.

How it works

From the first action to the next step

  1. Book against the buyer and property

    Start from a lead or the Site Visits workspace. Select an available project or property target, add the appointment time and meeting point, and link a buyer requirement when useful.

  2. Assign the host and record confirmation

    Choose an eligible agent to host the visit. Once you have confirmed the appointment with the buyer, record that confirmation so your team can see its status.

  3. Manage changes without losing history

    Review upcoming and unconfirmed visits in the list or on the calendar. Reschedule, cancel or reassign an appointment when plans change; the activity history records the changes.

  4. Capture attendance and the next step

    Review visits that need an outcome. Record completion or a no-show, and capture buyer feedback and the next action after a completed visit.

For teams coordinating several property viewings

A booked visit needs more than a name and a date. The host needs the property, meeting point and buyer context; the team needs to know what happened afterwards. Keeping that record with the lead makes handoffs and later conversations easier to review.

Questions before you start

Does EstateCue send visit reminders to buyers?

Yes, if the workspace turns on buyer visit emails: buyers with an email address hear when a visit is booked, changed, confirmed or cancelled, with reminders the day before and about two hours before. You can also copy a private link for WhatsApp. On it the buyer confirms, asks for another time or cancels, and the host is notified.

Is there a calendar view?

Yes. Site Visits has day, week and month views, and a phone opens an agenda of the week. Each visit shows its time, buyer, project and status, and an agent booked twice at the same time is flagged.

Can I see how our site visits turn out?

Yes. Visit analytics counts the visits scheduled in a period: how many were completed, missed or cancelled, the buyer’s response at each completed visit, and visits by project and agent. Each percentage says what it is out of, and the visits can be exported. Owners and admins see it by default; it is part of the analytics in paid plans.

Can I review changes to an appointment?

Yes. Visit detail includes an activity history, plus buyer and property context. Recorded changes help your team understand how the appointment reached its current state.
